The meeting was in your Outlook calendar, the time came, and no reminder ever popped up. Outlook reminders fail for a short list of reasons, and the fix depends on which Outlook you use: new Outlook for Windows, classic Outlook, Outlook on the web, Mac or the phone app. Start with the three checks that apply everywhere, then jump to your version.
The short version: make sure the event has a reminder (not None), that reminders are switched on in Outlook, and that Windows, macOS or your phone is allowed to show Outlook notifications with Do Not Disturb or Focus out of the way.
Fixes That Apply Everywhere
1. Check the event actually has a reminder
Open the event and look at the Reminder dropdown. If it says None, Outlook has nothing to show. Pick a time such as 15 minutes, and for important meetings add a reminder in your phone as well, so you are not relying on one device.
2. Turn on default reminders
New events only get a reminder automatically if a default is set. In classic Outlook go to File > Options > Calendar and tick Default reminders. In new Outlook and Outlook on the web, open Settings > Calendar > Events and invitations and choose a Default reminder.
3. Watch out for shared and secondary calendars
Classic Outlook only raises reminders for items in your own default Calendar folder. Events on a colleague's calendar shared with you, a team calendar, or an extra calendar you created usually stay silent. If you rely on one of those, copy the important events into your own calendar.
Watch out: if notifications arrive at the wrong time, your Outlook time zone and your device time zone disagree. Check Settings > Calendar > View (new Outlook and web) or File > Options > Calendar > Time zones (classic).
Outlook Reminders Not Working on Windows
Classic Outlook (the one with a File menu):
Switch reminders on. Go to File > Options > Advanced and tick Show reminders and Play reminder sound.
Rebuild the reminders list. Close Outlook, press Windows key + R, type outlook.exe /cleanreminders and press Enter. This is the standard fix when reminders stop appearing or old, dismissed reminders keep coming back.
Keep Outlook running. Classic Outlook can only show a reminder while it is open. Closed Outlook means no pop-up.
New Outlook for Windows:
Check notification settings. Open Settings > General > Notifications, make sure calendar reminders are turned on and choose how they are shown.
Allow Outlook in Windows. Open Windows Settings > System > Notifications, make sure notifications are on and that Outlook is allowed, with banners and sound.
Check Do Not Disturb. In the same Windows screen, turn off Do not disturb, or add Outlook as a priority app, and check that Focus sessions are not running.
Outlook on the Web Reminders Not Working
Turn on desktop notifications. In Outlook on the web, open Settings > General > Notifications and switch on desktop notifications and calendar reminders.
Allow the site in your browser. Click the icon to the left of the address bar on Outlook and set Notifications to Allow. Then allow your browser in Windows or macOS notification settings.
Keep a tab open. Web reminders only appear while Outlook is open in a browser tab. Close the tab, or the laptop, and the reminder has nowhere to go.
Outlook Calendar Notifications Not Working on Mac
Allow Outlook notifications in macOS. Open System Settings > Notifications, select Microsoft Outlook and turn on Allow notifications, with the alert style set to Alerts if you want it to stay on screen. Older Office versions use a separate Microsoft Office Reminders entry; allow that too.
Check Outlook's own settings. In Outlook, open Settings > Notifications & Sounds and make sure calendar reminders are on.
Check Focus. In System Settings > Focus, add Outlook to the allowed apps for any Focus you use during the working day.
Outlook Calendar Notifications Not Working on iPhone or Android
Turn on calendar notifications in the app. In the Outlook app, open Settings > Notifications and, under Calendar, switch on notifications for each account you use.
Allow Outlook in phone settings. On iPhone go to Settings > Notifications > Outlook and turn on Allow Notifications, Sounds and Lock Screen. On Android go to Settings > Apps > Outlook > Notifications and make sure calendar alerts are not set to Silent.
Remove battery restrictions on Android. In Settings > Apps > Outlook > Battery, choose Unrestricted. On Samsung, also take Outlook out of Sleeping apps.
Check Focus and Do Not Disturb. Add Outlook to the allowed apps in each Focus on iPhone, and as an exception in Do Not Disturb on Android.
More phone-side settings that silence reminders are in our guides on how to set a reminder on iPhone and how to set a reminder on Android.

When a Pop-up Is Not Enough
Even with every setting right, an Outlook reminder is a small window or a banner and one short sound. It is easy to miss when you are on another screen, away from your desk, or your phone is face down. That is the limit of notifications, not a settings problem; we explain why in why calendar notifications fail.
For meetings you cannot afford to miss, Remindavo rings your phone like a real call before each Outlook or Microsoft 365 event, with a voice that reads the event name: "Quarterly review with finance in 10 minutes." It keeps ringing until you answer, and because it reads your calendar, moved and new events are picked up automatically.
Sign in with Microsoft at web.remindavo.com or in the iPhone or Android app.
Pick the calendars you want calls for. Every timed event gets a reminder.
Choose how early you want the call and verify your phone number.
The free plan includes 5 real reminder calls or 14 days, whichever comes first, with no credit card. Full setup steps are in our guide to phone call reminders for Outlook calendar.
