Information We Collect

We collect information in two ways: directly from you when you create an account or use our services, and automatically as you interact with our platform.

Information you provide directly:

• Account information — your name and email address when you sign in with Google, Microsoft, or Apple. If you use Apple's "Hide My Email" feature, we receive and store only the private relay address Apple generates for you
• Phone number — the number you provide to receive reminder calls, verified by us before use
• Reminder preferences — your chosen lead time, timezone, and notification settings
• Custom reminder content — titles and messages you create for custom (non-calendar) reminders
• Contact information for family reminders — phone numbers of contacts you add (with their consent), for the purpose of sending reminder calls on your behalf
• Calendar selection — which of your calendars you have chosen for us to monitor

Information collected automatically:

• Calendar data — event titles, start times, and locations from the calendars you select. Depending on how you use Remindavo, this reaches us in one of two ways: fetched from Google Calendar or Microsoft Outlook using the access you grant us, or sent by the Remindavo mobile app from your device's calendar. We do not store your full calendar. We retain only the title and scheduled time of events for which a reminder was actually delivered, so that you can review your reminder history — see Data Retention below
• Mobile app data — if you install the Remindavo app, we collect a push notification token (provided by Apple or Google) so we can ring your device, along with your device platform and app version. The app reads your device calendar on the device itself and sends us only the events from the calendars you selected
• Usage data — pages visited, features used, and interactions with the Remindavo dashboard, used to improve our service
• Device and browser information — browser type, operating system, IP address, and referring URL for security and analytics purposes
• Call and alert logs — records of whether a reminder was delivered as an app alert or a phone call, and whether it was acknowledged, stored to help you track your reminder history and to apply free-plan limits
• Subscription and purchase history — if you subscribe, we store your purchase history linked to your account: the plan you chose, its current status, start, renewal and expiry dates, and the transaction identifier issued by Apple, Google, or Dodo Payments. Payment itself is processed entirely by Apple's App Store, Google Play, or Dodo Payments — we never receive or store your card number, bank details, or other payment credentials

How We Use Your Information

We use the information we collect solely to provide, improve, and protect our services. Specifically, we use your data to:

• Deliver reminders for your calendar events and custom reminders — as a ringing alert on your phone through the Remindavo app, as an automated phone call, or both
• Place a backup phone call when an app alert is not received by your device, so a reminder still reaches you
• Authenticate your identity and maintain the security of your account
• Verify phone numbers — yours and those of any contacts you add — before placing calls, to prevent misuse
• Apply free-plan limits and manage your subscription across the app and the web
• Send transactional communications such as subscription confirmations, payment receipts, and service updates
• Analyse aggregate usage patterns to improve our product, identify bugs, and optimise performance
• Respond to your support requests, questions, or feedback
• Comply with legal obligations, including fraud prevention and financial regulations

Data Storage & Security

We take the security of your personal data seriously and implement industry-standard safeguards to protect it against unauthorised access, alteration, disclosure, or destruction.

• All data is encrypted in transit using TLS (Transport Layer Security)
• Sensitive data at rest is encrypted using AES-256
• Access to personal data is restricted to personnel who need it to operate and maintain the service
• We conduct regular security reviews and vulnerability assessments
• Calendar access tokens are stored encrypted and are used only to read the calendars you selected
• We store only the events needed to deliver and log a reminder, never a copy of your full calendar

While we take every reasonable precaution, no method of electronic storage or transmission over the Internet is completely secure. We cannot guarantee absolute security, but we commit to promptly notifying affected users in the event of a data breach as required by applicable law.

Data Sharing & Third Parties

We do not sell, rent, or trade your personal information to third parties. We may share your information only in the following limited circumstances:

• Service providers — trusted third-party vendors who help us operate the service. These currently include Twilio (placing reminder calls and sending verification SMS), Apple and Google (delivering push notifications to your device and processing in-app subscriptions), Microsoft (reading your Outlook calendar when you connect it), and Dodo Payments (processing subscription payments made on the web). These providers are contractually bound to use your data only to perform services on our behalf
• Google — we access your Google Calendar through Google's official OAuth API, subject to Google's own privacy and data handling policies
• Analytics — we use Microsoft Clarity and Google Analytics to understand how users interact with our service. These tools may collect anonymised usage data
• Legal compliance — if required by law, court order, or government authority, we may disclose information to comply with our legal obligations or to protect the rights and safety of our users or the public
• Business transfers — in the event of a merger, acquisition, or sale of assets, your information may be transferred to the new entity, with appropriate notice given to you beforehand

Cookies & Tracking

We use cookies and similar tracking technologies to enhance your experience on our platform and to understand how our service is used.

• Essential cookies — required for the service to function, including session management and authentication
• Analytics cookies — used by Google Analytics and Microsoft Clarity to collect anonymised usage data that helps us improve the product
• Preference cookies — used to remember your settings and preferences across visits

You can control or disable cookies through your browser settings. Note that disabling certain cookies may affect the functionality of the Remindavo platform.

Data Retention

We retain your personal information for as long as your account is active or as needed to provide our services. Specifically:

• Account data — retained for the duration of your account and for up to 90 days after account deletion, to allow for dispute resolution or account recovery
• Reminder and call logs — event titles and scheduled times for delivered reminders are automatically deleted after 30 days
• Billing records — subscription and purchase history, retained for up to 7 years as required by financial and tax regulations
• Calendar data — we never store a copy of your calendar. Events we do not remind you about are discarded immediately after they are checked
• Custom reminders you delete — removed from your account immediately and retained internally only for a limited period for abuse prevention and dispute resolution

You may request deletion of your account and associated data at any time by contacting us at [email protected]. Upon verified request, we will delete your personal data within 30 days, except where retention is required by law.

Your Rights

Depending on your location, you may have the following rights regarding your personal information. We honour these rights for all users regardless of jurisdiction:

You can also withdraw specific permissions at any time: disconnect Google or Microsoft from your Remindavo dashboard (or from your Google/Microsoft account settings), and revoke calendar or notification access for the mobile app in your device's system settings. Removing a permission stops the related reminders but does not delete your account.

• Access — request a copy of the personal information we hold about you
• Correction — request correction of inaccurate or incomplete data
• Deletion — request erasure of your personal data ("right to be forgotten"), subject to legal obligations to retain certain records
• Portability — request your data in a structured, machine-readable format
• Restriction — request that we restrict the processing of your data in certain circumstances
• Objection — object to the processing of your data for certain purposes, including analytics
• Withdraw consent — revoke access to your Google Calendar at any time through your Google Account settings
• Opt out of marketing — unsubscribe from any non-transactional communications at any time

Children's Privacy

Remindavo is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children. If you believe a child under 18 has provided us with personal information, please contact us immediately at [email protected] and we will take steps to delete that information promptly.

Changes to this Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will notify you by email or through a prominent notice on our website at least 14 days before the changes take effect.

The "Last updated" date at the top of this page always reflects when the most recent changes were made. We encourage you to review this policy periodically to stay informed about how we protect your information.
