A missed dentist appointment, a forgotten parent-teacher meeting, a client call you only remembered once it was over. If this keeps happening, it is rarely about memory or caring less. It is about a reminder system with gaps in it. Here is why appointments slip through, and nine fixes that close the gaps.
The short version: keep one calendar, enter appointments the moment they are booked, time your reminder to when you must act, and make the important ones a phone call instead of a notification.
Why You Keep Forgetting Appointments
Most forgotten appointments trace back to one of a few weak spots:
- The alert was easy to dismiss. A banner on a lock screen gets swiped away in half a second, often while you are doing something else.
- Your phone was silent. Focus mode, Do Not Disturb, a meeting or a gym session all mute the one notification that mattered.
- It fired at the wrong time. A reminder a day ahead is useful for planning but useless at 2:40pm when you need to leave at 2:45.
- It lived somewhere else. The appointment was in a text, an email confirmation or a paper card, not in the calendar you check.
- Time blindness. Deep work, a busy day or ADHD make it easy to lose track of time even when you know about the appointment.
9 Fixes That Actually Work
Use one calendar for everything. Work, personal, family and health appointments all in one place, or at least all overlaid in one view. Two calendars means two places to forget.
Enter it before you hang up. Add the appointment while you are still on the phone or at the front desk. "I will add it later" is where most of them disappear.
Put the details in the event. Address, video link, what to bring, the phone number to call if you are late. A reminder you can act on immediately is a reminder you act on.
Set two reminders. One the evening before to plan around it, and one timed to the moment you must act: when to leave, not when it starts.
Add travel and buffer time. Block the drive or the 10 minutes before a call as part of the event, so the calendar shows you are busy when you actually need to stop.
Review tomorrow tonight. A two-minute look at tomorrow before bed catches early starts, clashes and anything that needs preparation.
Reply to confirmation texts. When a clinic or salon asks you to confirm, do it, and add or check the calendar entry at the same time.
Let your Focus mode through. If you use Focus or Do Not Disturb, allow calls from your reminder service, or schedule Focus to end before key appointments.
Make the important ones a phone call. A ringing phone is the one alert people almost never ignore. More on this below.
Tip: you do not need a call for everything. Use normal notifications for routine items and save the call for the appointments that cost you money, a fee or a relationship if you miss them.
Notification vs. Phone Call Reminder
| Calendar notification | Phone call reminder | |
|---|---|---|
| Easy to dismiss without reading | Yes, one swipe | No, it rings until you answer |
| Works with phone face down or in a bag | Often missed | You hear it |
| Tells you what the appointment is | Only if you unlock and read | Read out loud |
| Follows a rescheduled appointment | Yes | Yes, with Remindavo |
| Cost | Free | Free to start, then $10/month |
How to Get a Phone Call Before Every Appointment
Google Calendar, Outlook and Apple Calendar cannot call you on their own. Remindavo fills that gap: it connects to Google Calendar or Outlook and calls your phone before each appointment, with a voice that reads the appointment name, for example "Dentist with Dr. Chen in 30 minutes". When the appointment moves, the call moves with it.
